Frequently Asked Questions

The following information will provide some guidance to the service we offer, however please do not hesitate to call us for further details.

  1. How do we book our wedding?
    • Just call our dedicated weddings team on 0845 050 5925. A Trailfinders Wedding Consultant will guide you through the various options available to you and discuss accommodation rates, as well as airfares.
  2. How can Trailfinders help us with our wedding plans?
    • As soon as you make contact with our dedicated Weddings Department, Trailfinders will endeavour to make your special day run as smoothly as possible. We will assist in organising all the necessary paperwork and documents required in order to be married in your chosen destination - all you need to do is send us photocopies of the documents we request and travel with the originals. We will also send you a welcome pack with details of the wedding venues available at your chosen hotel, some important information about the legal requirements and an Optional Wedding Extras form enabling you to select the little touches that will make your day unique to you. Our expert Wedding Consultants are on hand to talk you through any questions you may have and will liase with the local Wedding Co-ordinators on your behalf.
  3. Where exactly will our wedding take place?
    • The ceremony usually takes place in a recognised location within the hotel grounds, such as the gardens or overlooking the ocean, and the basic wedding price includes the cost of a decorated venue. You may choose to get married on the beach, although the weather or sea conditions could prevent this, in which case an alternative will be suggested. If there is a choice of more than one venue, Trailfinders is pleased to request your preference in advance, or your local Wedding Co-ordinator will be happy to show you the options on arrival.
  4. When will our wedding take place?
    • Each resort has different regulations regarding the days and times you can be married. Your Trailfinders Wedding Consultant is on hand to advise you. Generally, weddings take place on weekdays after 10am.
  5. What do we need to do when we arrive?
    • A Wedding Co-ordinator from the hotel will meet you to discuss your options and help you make final preparations. In most cases you will need to complete some paperwork either at your hotel or at a local government office but this will be fully explained to you. Please note you may be required to be at your chosen location for a number of days prior to your wedding day to complete the formalities. Your Wedding Consultant will advise you accordingly. Other than that, just relax and enjoy yourselves!
  6. How do we book optional extras?
    • After your Trailfinders Wedding Consultant has made reservations for you at your chosen hotel and the wedding date has been requested, we will ask you to complete a questionnaire detailing all of the optional wedding extras you require. These can range from something as simple as a buttonhole for the groom to a hairdressing and make-up session for the bride. You can obtain further details from your Trailfinders Wedding Consultant. Once the questionnaire is returned to us, we can request your choices from the hotel. Please note that all optional extras are payable locally and prices shown are for guidance only. Many more extras may also be available when you arrive at your resort.
  7. Will our marriage be legally recognised in the UK?
    • Yes, all Trailfinders weddings are registered in the country where they take place and are legally recognised in the UK (provided you have permanent residence in the UK). Some wedding locations are only available to British passport holders.
  8. Does Trailfinders provide extra insurance to cover our wedding?
    • Yes, we provide a specially designed policy to cover your wedding. This is available in addition to the standard Trailfinders travel insurance policy and provides cover for items such as rings, gifts and outfits.
  9. Can we invite guests to our wedding?
    • Trailfinders weddings are tailormade for the bride and groom, however, we would be pleased to book flights and accommodation for as many guests as you wish to invite. Bear in mind also that you may wish to request extra buttonholes, a celebration dinner or more champagne for your guests and some hotels may have restrictions on numbers in smaller wedding venues. Some hotels stipulate that guests attending the wedding must stay at the hotel while specific regulations may also apply to children, so it is worth checking with your Wedding Consultant before you decide for sure on a wedding location.
  10. Can we change our wedding date once booked?
    • If available, we will try to change your wedding date. An administration charge will apply. Cancellation charges will be explained to you at the time of booking.
  11. What can we do to prevent our wedding outfits being damaged?
    • The best way to transport your wedding outfits is in a 'hard' suitcase which can be placed in the aircraft hold. Please note that generally there is no extra baggage allowance for wedding outfits - your Trailfinders Weddings Consultant will be on hand to advice you of your limits. On arrival at your destination, most hotels will be able to assist you in getting your outfits pressed (a local payment may apply).
